Why organisers book an event photographer at all
Not for memories. Event photographs are working assets, and the good ones pay for themselves three times over:
- Proof for sponsors and exhibitors. A logo wall with people in front of it is the deliverable in almost every sponsorship contract.
- Next year’s sales material. A full room, engaged faces and a well-lit stage sell the next edition better than any copy.
- Press coverage. Journalists publish the images that arrive first and are captioned correctly.
- Recruiting. Candidates look at your event pictures to work out what it is like to work with you.
- Internal recognition. The colleague who got the award deserves a photograph of it that is not a blurry phone shot.

Venue knowledge is not name-dropping — it is knowing where to stand and what the light will do before the first guest arrives.

Working discreetly
The measure of good event coverage is that guests do not remember the photographer. That means dark, appropriate clothing, quiet shutters, no flash into faces during dinner or a keynote, and never stepping into a sightline that the audience or the AV crew needs. Where a room is genuinely too dark, light is bounced — it is never fired across a table.
Consent, DSGVO and publication
Photography at business events in Germany is normal and lawful, and it works best when it is visible: a line in the registration email, signage at the entrance, and a simple way for guests to opt out — a different lanyard, a sticker, a word at the door. Stage participants are covered by their speaker agreements. Close portraits of individual guests are taken with their agreement, not from behind a long lens. Before delivery, the gallery is culled of frames nobody would want published.

Frequently asked
How far in advance should we book?
For conferences and galas, as soon as the date is fixed — two to six months is typical. December company parties in Berlin should be enquired about in September. Smaller receptions and press events can often be covered at a week’s notice, and last-minute enquiries are always worth sending.
Can we get photographs the same day?
Yes, when it is agreed in advance. A press or social selection of ten to forty edited frames can be delivered during the event or immediately afterwards, edited on site.
Do you work in German and English?
Yes. Briefings, on-the-day coordination with AV and venue staff, and image captions can be handled in either.
Do you cover events outside Berlin?
Yes. Brandenburg and the surrounding region are treated as normal bookings; anything further is quoted with travel billed at cost rather than marked up.
What happens if the event overruns?
The overtime rate is in the quote before you sign it, so extending on the night is a decision, not a negotiation.
Can you also photograph the venue, the food and the team?
That is normally part of the same booking — catering and food, room design, and team and corporate portraits are all covered within the agreed hours.
