A gala gives you one chance at every picture. The handshake on stage happens once, the winner walks off once, and the room is only perfect before the first guest sits down. Award and gala photography is the least forgiving kind of event work in Berlin, and it is entirely a matter of preparation.

What gets photographed, in order
- The room before guests — tables laid, stage lit, sponsor branding clean. Fifteen minutes, and irreplaceable afterwards.
- Arrivals and the red carpet — a fixed, well-lit position with a clean backdrop, so every guest gets one frame worth publishing rather than a blur in a corridor.
- Reception and aperitif — the warm, social hour; conversations, greetings, sponsors with their guests.
- Speeches and the programme — hosts, presenters and the audience listening, shot from a position agreed with the stage manager.
- The handover — the single most important frame of the night: trophy, both faces, no backs to the camera, correct lighting state. This is rehearsed with the stage manager, not hoped for.
- Winner portraits — a short set-up beside the stage so every winner leaves with a portrait, with and without the trophy, and the sponsor logo behind them.
- Dinner, tables and the party — table groups, details and the late loose frames.
The handover is a staging question, not a photography question. Where the presenter stands, which side the winner enters from and whether the pair turn to the room decides whether the picture works. Five minutes with the stage manager during rehearsal fixes it for the whole evening.
Formal light, without ruining the atmosphere
Gala rooms are lit for the audience, not the camera: deep shadow at the tables, hard spotlights on stage, coloured wash on the walls and often a video wall that will fool any meter. The working approach is available-light for the room and the stage, with a small bounced source only where a table would otherwise be unusable. Guests should never be flashed mid-conversation, and no dinner is photographed with a light in someone’s eyes.
The practical consequence is fast lenses and high-ISO files handled properly in the edit — not a flash bracket sweeping the room.
Press-night delivery
If the award is news, the pictures matter that night. A press selection of ten to twenty frames — captioned, cropped and colour-corrected — can be delivered before the evening ends, from a laptop on site. Beyond that, a full first selection reaches you the next morning and the complete gallery within three to five working days.
Captioning is worth agreeing in advance: names and titles spelled correctly, category names as they appear in the programme, sponsor references as contracted. A list from the organiser before the event makes this straightforward; guessing at it afterwards does not.

Berlin gala venues
The formal circuit in Berlin runs through spaces with very different problems. Historic ballrooms and hotel salons in Mitte give you warm chandelier light and tight sightlines. The larger halls — Tempelhof hangars, Kraftwerk, STATION Berlin — give you scale and almost no ambient light, so the wide room shot depends entirely on the event’s own lighting design. Palace and museum settings usually come with restrictions on tripods and additional lighting that have to be cleared in advance. Whatever the venue, a walk-through before guests arrive decides the three fixed positions used all evening.
Two photographers, or one
A gala with a red carpet, a parallel VIP reception and a stage programme is not a one-person job: someone has to hold the arrivals position while the room fills. Where the programme genuinely requires it, coverage is quoted as a team with defined roles — one on stage and portraits, one on arrivals and the floor. Where it does not, one photographer with a clear running order is better value and produces a more consistent gallery.
